What are per-customer rates?
Per-customer rates let you assign a special price to a specific customer within a flat-rate rule. Instead of seeing the base price everyone else sees, that customer will see — and pay — the price you’ve agreed with them.
It’s a simple way to handle individual contracts, volume discounts, or special business agreements, without having to create separate rate rules for each case.
When to use them
Per-customer rates are ideal when you need to treat certain customers differently from the rest:
- Volume discounts: A customer who ships 200 packages a month deserves a lower price than one who ships 10.
- Negotiated contracts: You agreed on a fixed price with a customer for a set period.
- VIP customers: You want to reward your best customers with preferential terms.
- Trials or promotions: You offer a special price during the first months to win over a new customer.
How to set up per-customer rates
Step 1 — Go to rate rules
In the side menu, go to Administration → Pricing → Rate Rules.
Step 2 — Edit a flat-rate rule
Find the flat-rate rule you want to add special prices to and click Edit.
Only flat-rate rules support per-customer prices. Weight or volume rules don’t have this option.
Step 3 — Find the “Per-Customer Prices” section
Inside the rule’s edit form, scroll down to find the Per-Customer Prices section. There you’ll see the list of customers with a special price already configured (if any).
Step 4 — Add a customer
Click the Add button. A new row will appear with these fields:
| Field | Description |
|---|---|
| Customer | Search for and select the user with the Customer role you want to assign the price to |
| Price | The amount that customer will pay (instead of the base price) |
| Active | Turn this special price on or off without having to delete it |
Step 5 — Save the changes
Click Save so the changes take effect immediately.
Changes apply starting with the next quote or order creation. Existing orders are not affected.
How does it work for the customer?
Nothing special from the customer’s point of view. When a user with the Customer role gets a quote for a shipment or creates an order, the system automatically detects whether they have a special price assigned in that rate rule and applies it instead of the base price.
The customer sees their price with no additional indication. They don’t know there’s a different “base” price — they simply see their agreed price.
This applies to both:
- Quoting shipping options (when they select a service and see the cost)
- Creating the final order (the price recorded on the order)
Requirements
Before setting up per-customer rates, keep the following in mind:
- The user must have the Customer role. Special prices can only be assigned to users with that role. It doesn’t apply to Admins or other roles.
- It only works with flat rates. Weight- or volume-based calculation rules don’t support this feature.
- Available on the Professional plan or higher. If your account is on the Basic plan, you need to upgrade to access this feature.
Frequently Asked Questions
Can I assign the same customer to several rate rules?
Yes. A customer can have special prices in as many rules as you need. The system applies the special price in each rule where you’ve configured it.
What happens if I deactivate a customer’s special price?
The customer goes back to seeing the rule’s base price. The configuration isn’t deleted, it’s just left inactive. You can reactivate it whenever you want.
Can I set a price higher than the base price?
Yes, technically the system allows it. However, this feature is most commonly used to offer discounts, not surcharges.
Can the customer see that they have a special price?
Not directly. The customer simply sees the price that applies to them when getting a quote or creating an order. There’s no label or message indicating it’s a custom price.
What happens if I remove a customer’s special price?
Orders already created don’t change. It only affects new quotes and orders made from that point on.
Can I export the list of per-customer prices?
Currently, per-customer prices are managed directly within each rate rule, inside the admin panel. If you need a consolidated report, contact support.
Practical example
Situation: Your standard flat rate for in-city shipments costs $8.00. However, you have a corporate customer — “Perez Distribution” — who makes over 300 shipments a month. You negotiated a price of $5.50 per shipment with them.
Setup
- Go to Administration → Pricing → Rate Rules.
- Edit the “Standard Local Rate” rule (flat rate, $8.00).
- In the Per-Customer Prices section, click Add.
- Select the user “[email protected]” (Customer role).
- Enter 5.50 as the price.
- Confirm the Active toggle is on.
- Save.
Result
From that moment on:
- Any other customer getting a quote for a local shipment sees $8.00.
- When Carlos from Perez Distribution gets a quote or creates a local order, he automatically sees $5.50, with no extra steps on his part.
In a month with 300 shipments, Carlos pays $1,650 instead of $2,400 — a $750 savings that reflects the business agreement you have with him.
