Introduction

The cargo manifest (or “shipment manifest”) is a printable, signable document that groups a batch of orders to hand off to a courier. It serves as proof that a set of packages was handed over to the courier for delivery, with a unique tracking number to keep it traceable.

It’s ideal for the handoff moment: when you prepare several orders and hand them to a courier, you generate the manifest, both of you sign it, and each keeps a copy.

What does the manifest include?

Every manifest you generate contains:

  • A unique, sequential number (for example, M000001, M000002…) to identify the document.
  • Your company’s details and, if applicable, the assigned courier’s.
  • A table with the batch’s orders: address, city, declared value, and description.
  • The totals: number of orders, number of packages, and total declared value.
  • Signature lines for the person handing off the shipment and for the courier.

💡 The manifest is designed to be printed on regular paper and signed by hand. The recommended paper settings (size, orientation, and margins) are shown in the window when you generate it.

How to generate a manifest

  1. Go to the Orders menu.
  2. Select the orders you want to include, checking each one’s box in the list.
  3. Click the Actions button (it will show the number of selected orders).
  4. Choose Generate Manifest.
  5. A confirmation window will open showing:
    • The recommended paper settings.
    • A summary of what the document will include.
    • The list of selected orders (you can adjust it manually if needed).
  6. Click Generate Manifest inside the window.
  7. The document will open ready to print. Print one copy for yourself and another for the courier.

Automatic courier assignment

  • If all the selected orders have the same courier assigned, the manifest will show it automatically in the header.
  • If the orders have different couriers or none assigned, the document will leave the courier’s space blank for it to be filled in and signed by hand.

Reprinting a manifest

Need another copy (for example, for a different courier or because the original was lost)? You can reprint an already-generated manifest: each one keeps its original number, so the reprinted document is identical to the first one.

Whoever generated the manifest can always reprint it. Roles with visibility over all of the organization’s orders (like admins and operations managers) can also reprint manifests generated by other users.

Who can generate manifests?

Whether you can generate manifests depends on your role within your organization:

  • Admins and operations managers can generate manifests for any order in the organization.
  • Users with their own account (for example, customers managing their own shipments) can only generate manifests for their own orders.
  • Some roles, like courier, don’t have manifest generation enabled.

If you think you should be able to generate manifests and the option doesn’t appear, contact your organization’s administrator to review your role’s permissions.

Frequently Asked Questions

Is there a limit of orders per manifest? Yes. You can include a generous number of orders in a single manifest; if you go over the allowed maximum, the system will let you know so you can split the batch into several documents.

I changed my company’s details or logo and the manifest shows them out of date. Company information can take a moment to update on documents. If you just changed it, wait a few minutes and generate the manifest again.

Can I modify the included orders before generating it? Yes. In the confirmation window you can manually adjust the list of orders before generating the document.

Does the manifest change the orders’ status? No. Generating a manifest is a documentation action: it doesn’t modify shipment status or reassign orders.
