This guide explains, step by step, how to let your couriers sign themselves up and how to approve them.

Where it is: Menu → Onboarding → Couriers.

At the top of the Couriers screen you’ll see the Public sign-up link. Anyone with that link can fill out the form and request access.

You have three ways to share it:

  • Copy: copy the link to paste it into a message, email, or group.
  • Print QR (PDF): generates a letter-size poster with a large QR code, ready to print and post at a physical location. Whoever scans it lands directly on the form.
  • Regenerate: creates a new link and invalidates the previous one. Use this only if the link was leaked or you want to cut off access to the old form. It will ask for confirmation, because already-printed QR posters will stop working.

Pausing and resuming sign-ups

Next to the link there’s a button to Pause sign-ups. While paused, the link and the QR show “not available” and no one can sign up, but printed posters keep working once you resume (you don’t need to reprint them).

This is useful, for example, when you’ve already gathered enough requests and want to close registration temporarily.

2. Configure what the form asks for

With the “Configure form” button you decide what data is requested from whoever signs up.

Default fields

FieldRequired?
NameYes (always)
EmailYes (always)
PhoneOptional
ID document (photo)Optional

Name and Email can’t be removed: the email is what the person uses to log in and where their credentials are sent.

Adding or removing fields

  • Account fields (address, city, state, postal code, etc.): turn them on or off with the “Shown” and “Required” switches.
  • Additional fields: use “Add field” to create your own fields. For each one, choose a label (the name the person will see) and a type:
    • Text and Long text — for written data
    • Number — for quantities
    • Date — to select a day
    • Selection — a list of options (write one per line)
    • Image — so the person can upload a photo (ID, license, vehicle photo, etc.)

You can mark each field as required or optional, reorder them with the arrows, and delete them. When you’re done, click Save form.

Example: if you only need a quick sign-up with the essentials, leave the default 4 fields. If you need to verify identity, keep the “ID document” field required.

3. How a courier signs up

The person opens the link (or scans the QR), sees the form with your organization’s name, fills in the details, and clicks Submit request. They receive a “Request received” message and are left pending your approval — they don’t have access yet.

As soon as someone signs up, a notification email is sent to your organization’s email address so no one is left unattended.

4. Reviewing and approving requests

The Couriers list opens by default on Pending (the most important one to handle). You can switch between Pending, Active, Rejected, and All, and use the search box by name or email.

For each pending request, directly from the list or by opening the detail with “View”, you can:

  • Activate: approve the person. They instantly receive an email with their credentials (see below).
  • Reject: discard the request. You can add a reason (optional), which is kept on record.

What the courier receives when approved

An email, with your organization’s name, that includes:

  • A button to download the mobile app (Android or iPhone)
  • Their access credentials: your organization’s address, their email, and a temporary password
  • A recommendation to change the password after logging in

With that, they can log in to the app and start working.

5. Deactivating and reactivating

  • Deactivate (on an active courier): revokes their access immediately. You can add a reason. Useful when someone stops collaborating.
  • Reactivate (on a deactivated courier): restores their access and resends their credentials. Useful when they become available again.

Both Reject and Deactivate ask for confirmation, since they’re high-impact actions.

6. Tracking: history, delivery, and documents

In each courier’s detail view (“View”) you’ll find:

  • Decision history: the chronological list of everything that happened — sign-up, approval, deactivation, reactivation — with who did it, when, and the reason. Useful for audits.
  • Delivery status: shows whether the credentials email was delivered or failed. If it failed, use “Resend notification” to try again.
  • Documents: if you configured image fields (like the ID document), you’ll see the photos the person uploaded here.

Tips

  • Print the QR poster and place it in plain sight at your sign-up location so people can register instantly.
  • If you handle a lot of volume, open the “Pending” queue and approve or reject row by row.
  • Keep the “ID document” field required if you need to verify each person before giving them access.
