# Geofences Guide

## Introduction

A **geofence** is a circular zone you draw on the map — for example, around
your warehouse. The system automatically detects when a courier enters or
leaves that zone and turns it into useful information for your operation:
shipment events, a visit history with duration, and visual context on the
live map.

In short: you draw the zone once, and from then on the system logs for you
what someone used to have to write down by hand.

**Where to find it:** side menu → **Live Map → Geofences**.

---

## Before you start

Two things need to be in place for zones to work:

1. **Enable geofencing**: go to **Organization → System** and turn on
**"Enable geofencing"**. You can set up zones with the switch off, but
nothing will be detected until you turn it on.
2. **Couriers sharing location**: detection uses the location couriers share
from the mobile app. If a courier doesn't share their location, their
entries and exits can't be detected.

---

## Create a geofence

In **Live Map → Geofences**, click **"New geofence"**. The first thing
you choose is **what you want to monitor**:

### Option A — One of your agencies (the fastest)

If you already have your agencies loaded, there's no need to look up the
address again:

1. Choose **"One of my agencies"**.
2. Search for the agency by **name, code, or city** and select it. The name
and location are filled in automatically from that agency's data.
3. Adjust the **radius** if needed. 150 meters is suggested, which usually
covers a counter's premises; if your facility is larger, increase it.
4. Check the **center** on the map. The location you have on file is usually
the storefront door, so you can drag the pin so the circle also covers the
   loading yard.
5. Save.

The zone is marked as **Warehouse**, which is what allows it to generate
automatic events, and in the list you'll see the code of the agency it
monitors.

**An agency can only have one zone.** Agencies that already have one appear
grayed out with the label "Already has a geofence": if you need to change
it, edit the existing zone instead of creating another one. Two zones over
the same place would make the same shipment receive the event twice.

Only **active agencies with their location loaded** appear. If one is
missing from the list, fill in its location on the agency's profile and come
back.

### Option B — Another location

For any point that isn't an agency (a frequent customer, an operating area):

1. Choose **"Another location"**.
2. Give it a clear **name** (for example, "Central warehouse").
3. Choose the **type** (see the next section).
4. Place the **center** of the zone: search for an address in the search
box, or click directly on the map. You can drag the pin to fine-tune the
   position.
5. Set the **radius** in meters (between 30 and 5000). Tip: GPS accuracy
makes very small zones unreliable — for a warehouse, 100 to 300 meters
   usually works well.
6. Save. The zone becomes active immediately.

You can have up to **100 active zones** at a time.

> If your company doesn't have the agency network enabled, the screen won't
> ask you for the source and you'll go straight to option B's form.

## Zone types: Warehouse and Custom

| Type | What it's for |
|------|----------------|
| **Warehouse** | Your facilities (warehouse, distribution center) and zones created from an agency. It's the only type that can generate **automatic events** on shipments. |
| **Custom** | Any other zone you want to monitor: a frequent customer's zone, a recurring delivery point, an operating area. It logs visit history and is shown as a reference on the live map. |

When you create the zone from an agency, the type is already set for you —
you don't have to choose it.

---

## Automatic events (Warehouse-type zones only)

When creating or editing a Warehouse-type zone, you can turn on **"Automatic
events"**. With this enabled:

- **When the courier leaves the zone**, every shipment assigned to them
receives the **"Warehouse departure"** event and moves to the **In
transit** status — with no one having to capture anything, order by order.
- **When the courier returns**, shipments that haven't been delivered yet
  receive the **"Warehouse arrival"** event.
- Both events are logged in each shipment's history **with the real time**
the crossing happened, and are visible on the **public tracking page**:
your customers see that their shipment is moving without having to call
  and ask.

Shipments that have already been delivered are never modified.

---

## Zone activity: who entered, when, and for how long

Each zone keeps its own visit history. To view it, in the zone list click
the **activity** button (clock icon) for the zone you're interested in. A
panel opens with:

- **In zone now**: how many couriers are inside right now.
- **Visits today**: how many entries were logged today.
- **Average stay (7 days)**: how long a typical visit lasted over the past
  week.
- **Visit history**: who entered, at what time, what time they left, and how
long the stay lasted. Ongoing visits are marked with the **"In zone"**
  label.

This works for **all zone types** (Warehouse and Custom) and helps you
answer questions like: what time did the route leave this morning?, how long
did the courier spend at the customer's zone?, who's at the warehouse right
now?

History is kept for about **3 months**; older visits are deleted
automatically.

## Zones on the live map

In **Live Map → Live couriers** there's a **"Geofences"** button:

- Clicking it makes the map show your active zones (Warehouse ones in blue,
Custom ones in gray) and repositions to show them all.
- The arrow next to the button opens the **zone list**: pick one and the map
jumps straight to it with its info.
- From the Geofences page, the **"View live map"** button takes you to the
map with the zones already visible.

---

## Edit, disable, and re-enable

- **Edit**: use the pencil button in the list, or click the zone on the map
and press "Edit" in its info window.
- **Disable**: use the switch in the list. A disabled zone stops detecting
entries and exits, but isn't lost: you can re-enable it whenever you want.
  Its visit history is preserved.
- Zones are never permanently deleted — disabling them is how you "remove"
them without losing their configuration or history.

## Frequently Asked Questions

**I created a zone but it isn't logging anything. Why?**
Check three things: that geofencing is enabled in **Organization →
System**, that the zone is **active** (switch on), and that couriers are
sharing their location from the mobile app.

**Why can't I enable automatic events on a Custom zone?**
Automatic events ("Warehouse departure" / "Warehouse arrival") describe
movement at your facilities, which is why they're only available on
**Warehouse**-type zones. Custom zones do log their visit history.

**A courier passed by the zone and nothing was logged. Is that a bug?**
Not necessarily. To avoid false positives from GPS inaccuracy, the system
confirms an entry or exit with more than one position. A brief pass along
the edge of the zone might not count as a visit — that's intentional.

**Can I make the zone very small, like 10 meters?**
The minimum is 30 meters, and even then very small zones can give irregular
results due to GPS accuracy. If you notice visits not being logged, try a
larger radius.

**Do automatic events get duplicated if the GPS signal "bounces"?**
No. The system is designed to log each departure and each return exactly
once, even if the courier's signal is unstable.
