# Agency Management Guide

## What is the Agencies module?

The Agencies module lets you register the offices in your network —branches, pickup points, distribution centers, warehouses, or lockers— with their location, contact info, and hours. You can also assign staff to them and mark which ones are shown to your customers as nearby delivery points.

## Enabling the module

The module comes **disabled** by default.

1. Go to **Organization → System**
2. Turn on the **Agencies** switch
3. The **Agencies** option will appear in the side menu

> Only an administrator can enable or disable the module.

## Viewing the office list

1. In the side menu, go to **Agencies**
2. You'll see a table with all your registered offices, showing their **type**, **location**, **status**, and number of **employees**
3. You can search by name, code, city, or state, and filter by type, ownership, and status

## Registering a new office

1. Click **New Agency**
2. Fill in the details:

| Field | Description | Required |
|-------|-------------|-----------|
| Name | Office name (e.g. "Downtown Office") | **Yes** |
| Code | Internal identifier code (e.g. "OFC-01") | **Yes** |
| Type | Branch, Pickup point, Distribution center, Warehouse, or Locker | **Yes** |
| Ownership | Own or Partner | No |
| Address | Street, neighborhood, city, state, country, and postal code | No |
| Map location | Location pin (coordinates) | **Yes** |
| Phone | Office contact number | No |
| Email | Contact email | No |
| Contact person | Person in charge of the office | No |
| Opening hours | Hours per day of the week | No |
| Services offered | Pickup, delivery, packing, storage, returns, cash on delivery, etc. | No |

3. Check the options that apply:
   - **Active**: the office is operational.
   - **Public**: the office is shown to your customers as a delivery point. *(See [Nearby offices](/en/docs/agencies/oficinas-cercanas/).)*
   - **Accepts cash on delivery (COD)**: the office can accept cash-on-delivery payments.

4. Save. The office will be registered and you'll be able to assign staff to it afterward.

### About the map location

The **map location is required**: it's what allows the office to be recommended by proximity to your customers. As you type the address, the map tries to locate it automatically; if it's not exact, drag the pin to the correct spot.

## Editing or deleting an office

- To **edit**: open the office and click **Edit**. There you can also adjust the **opening hours**.
- To **delete**: use the **Delete** option in the office's detail view.

## Assigning staff to an office

1. Open the office's detail view
2. In the **Employees** section, click **Add Employee**
3. Search for people by **name or email** and select one or several at a time
4. You can mark an office as a **primary** office for a person (each person has only one primary office)
5. To remove someone, use the remove option next to their name

> Each person's **role** at the office is the one they already have assigned in the system (for example, Courier or Manager); a separate role per office isn't defined.

## Office types

| Type | Typical use |
|------|-----------|
| Branch | Customer-facing office |
| Pickup point | Location where customers drop off or pick up packages |
| Distribution center | Sorting and distribution facility |
| Warehouse | Storage |
| Locker | Automated locker |

## Office status

Each office shows its **operating status**: Operating, Closed, At capacity, or Temporarily closed. This status is purely informational and is set by you.
